How to create service schedules and link dishes to electronic labels so they update automatically

Introduction

This guide explains how to create service schedules (breakfast, lunch, dinner) so that electronic labels automatically update with the corresponding dishes.

1. Creating a New Schedule

To begin, define the service to configure:

  • Go to the Restaurant tab and select the restaurant with installed labels.
  • Click the Schedule button and then “Add schedule”.
  • Name and Code: Assign a descriptive name (e.g., “Breakfast Tuesday”) and an internal code. For biweekly rotating menus, add a week indicator.

2. Time and Repetition Settings

Define when the information will be displayed on the labels:

  • Repeat days: Select the applicable days. Check the entire week if the buffet is identical; otherwise, select only specific days.
  • Start Time: It is recommended to set the start at least one hour before the actual service to allow for updates and staff orientation.
  • End Time: Set it approximately 30 minutes after closing.
  • Schedule Type: Choose “Weekly” for cyclic menus; “Do not repeat” only for one-time events.

3. Linking Labels (Loading Dishes)

This step automates the system by indicating which dish corresponds to each location:

  • Click “Link labels” and you will see label codes (e.g., P-C1-2).
  • Identify which label corresponds to each location on the buffet.
  • Click the ”+” button on the label and search for the previously created recipe.
  • Repeat for all labels in the service.

4. Managing Empty Labels (Logo Rule)

For labels without a dish in a specific service (closed or empty zone):

  • Assign the recipe called “Logo” (hotel corporate image) to those labels.
  • Important: Do not leave labels blank, as they would display the dish from the previous service and confuse guests.

5. Duplicating Schedules to Save Time

For similar menus without reconfiguring from scratch:

  • Use the “Copy schedule” button on an already created service.
  • Modify only the labels for dishes that change.
  • Very important: Change the name of the copied schedule by removing “Copy” and adding the correct name.
