How to Create and Manage Reservations for Activities

Guide to creating activities with booking capabilities and managing reservations, statuses, and attendance tracking.

Creating an Activity

You can create activities from the scheduling module. When setting up an activity, you can configure several key parameters:

  • Activity name: Customize the title of the activity.
  • Credit system (if applicable)
  • Activity schedule: Set the start and end date.
  • Capacity: Define the maximum number of participants.
  • Minimum advance booking time: Specify how far in advance a guest must book.
  • Waiting list: Enable this option to allow overbookings once capacity is full.

Viewing Reservations

From the Reservations view, you can see all the activities scheduled by day. To check the details:

  1. Open the calendar and select the desired day.
  2. Double-click the activity.
  3. The full reservation details will be displayed.

Managing Reservation Status

While managing reservations, you can use various status options to help monitor attendance:

  • Marked as arrived: When you click this, the arrival time of the guest is recorded.
  • Cancelled: A reservation can be cancelled either by the guest or by the animation team.
  • Used reservation: Mark this when the guest has already attended the activity.

Each status is visually reflected in the interface, for example, with a red button when marked as cancelled or completed.

Real-Time Control

This tool allows you to manage all reservations for your scheduled activities in real time, making it easier to track and optimize participation. It’s especially useful for the animation team or front desk who need a clear and efficient way to manage attendance.
